Give your admin site a title, select a light theme and upload your organisation's logo. On conservator plan you can personalise the archive portal with your brand colours and a welcome message.

Add categories, locations and, when ready, add your first archive item. Needing restoration? On the conservator plan simply add a project to track it.
Frequently Asked Questions
What does the 30-day free trial include?
Full access to your chosen plan for 30 days, and you can upgrade mid-trial at no cost. Your organisation is set up automatically when you sign up, so you can start exploring straight away. No credit card, no commitment — if you're happy at the end of the trial, you can activate a paid plan.
What's the difference between the Curator and Conservator plans?
Curator covers everything you need to manage and preserve your heritage collection. Conservator adds restoration management, work progress notifications and an Archive Portal — a space to share your archive and conservation work with members, donors and other stakeholders.
Do you offer a discount for registered non-profit organisations?
We don't currently offer a separate non-profit rate, but all plans include a 30-day free trial and a 15% discount when billed annually.
Can we change our plan?
Yes. You can upgrade at any time directly within the system, and your billing is adjusted accordingly. Downgrades and cancellations take effect at the end of your current billing period, so we can't refund unused time or value.
How is our data stored and kept safe?
Custodia runs on managed cloud infrastructure, and your organisation's records are only accessible to your own users. All traffic is encrypted in transit, and the database cannot be reached from the internet. If you have specific questions about security or data protection, we're happy to talk them through.
Can I migrate data from my existing system?
If your organisation's records are currently held in another system and can be exported, we can help bring that data into Custodia. Migration cost depends on the complexity and size of your data and is charged as a one-off fee. Contact us to discuss your options.
We're a small society run by volunteers. Is Custodia right for us?
Yes, Custodia has been built with ease of use in mind. You don't need prior experience to get started, and if you've used more complex systems before, you'll find it straightforward without giving up any capability.
